To handle the flow of incoming orders worry-free, it is important that the orders arrive when they can be processed. There are many adjustable parameters that can be applied such as number of orders per time, time between the order and production, production time, time of notification to the consumer and so on.
The various parameters are explained further. They are set via the management page: settings (1) - orders (2) and then submenu selection (3):
The submenu has following choices:
General parameters:
- The order app is a handy tool where orders come in in the form of sorted cubes. Its activation can be set here. For more explanation on how to use the order app, click here.
- When consumers place an order, it is usually for collection or delivery. However, the option can also be ticked that he has the choice to consume his order on site.
- When an order is placed, an email is sent to the consumer confirming his placed order and an email of this order is also received by the administrator of the web shop. Moreover, when using the ordering app, an e-mail will also leave with details of when his order will be ready to the consumer when production of his order starts. This mail traffic can be switched on or off here.
- Orders placed are final. However, for group orders, one can set that an order can be cancelled before the total order is sent. Group orders are a specific application for companies. For more information, contact Unipage.
- Here the start time of the day is specified for reporting. By default, the day starts at midnight.
- The preparation time is the average time required to prepare and pack the order. It is also this time that is used when communicating to the orderer to indicate when their order will be ready, because when using the ordering app, an email will be sent to the consumer when starting their order.
- If a different email address is to be used to receive the mails from the orders, it can be entered here. This is to avoid a particular mail address receiving too many incoming mails.
- A service charge can be set for each order, which will be added at the end of the order to partially recover the cost of online payments, for example. An amount can also be set above which this service cost disappears:
- If the customer should be able to tip with their order, this can be ticked here.
Order timings:
automatic creation of order timings:
The system will make different times available to place an order based on the data entered:
In (2), the maximum number of days the customer can order in advance is entered. This can be quite short (e.g. 0 if one only accepts orders for the day itself) or quite long (e.g. 300 if 10 months in advance can be ordered)
The time between the different order times is entered here (3). In this example, an order time will be generated every 5 minutes. This can also be seen immediately on the webshop:
In (4) the time an order must be received may be entered. If an order is placed after this time, it can only be placed for preparation the day after or possibly several days after if indicated in (5). Example: last order time is 14h and in (5) the number 1 has been filled in: an order placed before 14h can be placed for the same day, an order placed after 14h can be placed for 2 days later (= the day after + 1).
Via (6) the minimum time between when the order is placed and when it is prepared is set. This can be minutes but also days:
Manual creation of order timings:
If the determination of the times cannot be generated automatically, there is always the option of setting them manually:
- It can be set whether the manual determination of order times is the same for each day the webshop is open, or one can define completely separate times for each day. In this example, we opted to define different order times each day.
- An individual order time is created via this button.
- The time is determined per ordering time
- The number of minutes before the order must be placed is determined for each ordering time.
- A name can be given for how this time appears in the webshop for each order time.
The result of this setting can also be seen immediately on the web shop:
Order limits:
Through settings - orders - order limits, one can limit orders by number and size:
- If limits are to be set, this box should be ticked.
- The maximum number of orders per time point is entered here. This applies to both automatically generated order slots and manual ones.
- The maximum value per time slot is entered here.
A time slot thus disappears from the selection list when, on that time slot, the maximum number of orders has been reached or the combined value of all orders on that time slot, has exceeded the maximum order value.
Group orders:
This feature is company-specific. For activation and explanation, contact Unipage.
