This manual explains step by step how the Unipage Reservation System works. From activation and table management to reservations, no-show prevention, and follow-up. Everything is fully integrated into your Unipage environment.

 

1. What is the Unipage Reservation System?

The Unipage Reservation System helps you to manage your room, tables, and reservations in an organized and efficient way.

You work with:

  • A digital table plan
  • Smart capacity calculation
  • Online reservations via widget or landing page
  • Automatic confirmations via SMS and email and no-show prevention
  • One central customer database

 

2. What do you need to get started?

For proper operation, check the following:

  • Active Unipage management environment
  • Reservation module activated in the management page

 

 

3. Table Plan & Room Management

Creating a Table Plan

Under ‘Areas’ you will find the table plan which forms the basis of the reservation system.

Per table you can set the following:

  • Minimum and maximum number of seats
  • A QR code specific for each table
  • Optionally a name

 

4. Shifts & Calendar Management

4.1 Reservations

‘Reservations’ shows an overview per day of:
- the number of reservations
- the names under which the reservations were made
- the number of people for whom the reservation was made
- to which table(s) the reservation(s) were linked

View the details per reservation by clicking on it.
Here you will find the customer’s details, but you can also send an email to the customer via the ‘contact’ tab and view their reservation history.


4.2 Shifts
Shifts determine when and how customers can make reservations.

Examples of shifts:

  • Breakfast
  • Lunch
  • Dinner
  • Happy Hour
  • Sunday Brunch

Per shift you can set:

  • Start and end time
  • Minimum and maximum number of people
  • Repetition (weekly / monthly)

4.3 Repetitions and Exceptions

  • Repetitions can apply to one day, multiple days, or an entire series
  • Exceptions (e.g. closing days, events) can be managed via the left sidebar under Exceptions

This way, your calendar remains flexible without having to manually adjust everything each time.

4.4 Merging Tables (Groups)

Do you have a reservation for a large group? Temporarily or permanently merge tables via the button at the top right ‘Merge tables’.

Give the tables you want to merge a name, tick these tables and indicate whether you want to merge them temporarily or permanently.

Tip: name this group with the number of people that can be seated here.
For example, give the name ‘Long table - middle: 16 people’. This way you keep it clear for your staff during temporary adjustments in your room or terrace.

4.4 Adjusting Capacity with Modifiers

Is a table less suitable (e.g. against a wall or pillar)?

Use a modifier to adjust capacity:

  • Example: -2 seats
  • This way you maintain realistic availability

 

5. Managing Reservations
 

5.1 Reservation Overview

In the right column you see:

  • All reservations for the day
  • Per hour and by status

5.2 Reception Screen

For example, for use at the entrance:

  • Overview of tables
  • Names of customers per table
  • Possibility to quickly search for customers

Ideal for tablets or a fixed screen at reception.

5.3 Manual Reservations

At reception or by phone you can manually create reservations:

  • Click on a table in the table plan 
  • Choose ‘New reservation’ or ‘Place walk-in’
  • Enter customer details, date, time, and number of people.
    Enter other wishes of the customer or other comments that are important for the service. Do not forget to confirm the reservation.
    Important: email and phone details must be filled in, so that reminders can be sent to the customer.

5.4 Online Reservations

Customers can reserve via:

  • A widget on your website
  • A Unipage reservation landing page

The customer chooses:

  • Number of people
  • Date
  • Available time slot (in clear blocks)

and confirms the reservation by filling in their details.


5.5 Table statuses

You can set a status for a table by clicking the ‘i’ icon and selecting a status.
 

 

6. Confirmation & Communication

6.1 Automatic Confirmation

After each reservation the customer receives:

  • A confirmation email
  • With date, time, and number of people

 

7. No-show Prevention

Empty tables cost revenue. That’s why Unipage provides multiple solutions.

7.1 Automatic No-show Detection

  • Customers who have not arrived 30 minutes after reservation time are automatically marked as no-show
  • This status is saved in the customer profile
  • The tables are made available again for other guests.

7.2 Warning for Repeated No-shows

  • Does a customer reserve again after previous no-shows?
  • Then the merchant automatically receives a notification

7.3 Credit Card Guarantee 

For busy times you can:

  • Ask for a credit card guarantee
  • In case of no-show, automatically block or collect an amount via Mollie

 

8. Customer Database & History

Each reservation is linked to a customer profile.

What is automatically recorded:

  • Contact details
  • Reservation history
  • No-show status

Does the customer not have a profile yet?

  • Then one is automatically created in the Unipage customer database

 

9. Analytics & Insights

Via the analytics page you get insight into:

  • Number of reservations and number of guests
  • Number of no-shows
  • Average group size
  • Available slots per shift
  • Distribution by reservation status

This way you can:

  • Identify busy moments
  • Adjust shifts
  • Optimize capacity

 

11. Other Possibilities

  • Set closed days, holiday periods, events, and the like
  • Limit maximum number of reservations
  • Automatic review invitations after the visit
  • Sell gift vouchers via your reservation system

 

12. Good to Know

  • The widget remembers the customer’s details. If the customer has previously made a reservation via the system, they do not have to enter all the details again.
  • The system supports multiple locations within one account
  • Availability is always calculated based on tables, shifts, and exceptions
